Changing IT Provider Without Losing Control
A provider change is not only a contract decision. Administrative access, records, suppliers, backups, devices and unresolved work all need a clear owner before the handover date.
Before giving notice
- Confirm contract dates, notice terms, data-return provisions and current service obligations.
- Identify domain, DNS, hosting, Microsoft 365, backup, security, connectivity and device administrators.
- Check that credentials and recovery methods belong to the organisation rather than one supplier contact.
- Record open incidents, planned changes, renewals and known risks.
- Agree who can authorise access and receive sensitive handover material.
A controlled handover sequence
- Inventory the services, owners, suppliers and critical dependencies.
- Agree the handover scope, secure exchange method and validation evidence.
- Transfer and test access without unnecessarily disrupting the current service.
- Confirm operational ownership, escalation routes and remaining exceptions.
- Close or retain former access only after the organisation has validated control.
Useful evidence at completion
- Named owners for core services and suppliers.
- Validated administrative and recovery access.
- An exception list for anything incomplete or disputed.
- A current support and escalation route.
- Dates for outstanding renewals, changes or follow-up checks.
Questions before you enquire
Should the old provider be removed immediately?
Not before the agreed transfer and validation steps are complete. Timing depends on risk, contracts and the systems involved.
What if documentation is incomplete?
Record the gaps explicitly, prioritise critical access and dependencies, and agree how missing information will be recovered or rebuilt.
Can EAIT act as an independent adviser?
A scoped advisory role may be possible even when another provider will deliver ongoing support.
